Does site audits and keyword rank tracking. Similar to SEMrush and Serpstat, but this one is better at back link reporting. This is my main tool but I use this in tandem with the other two as well.
AI Powered Reels Club
Super helpful and thoughtful club of weekly reel ideas. That are actually useable for me. And wow howdy is getting the templates so easy! The provider, Kinsey, even provides a Canva template and a ChatGPT prompt to guide you getting a caption that works with YOUR brand. I really love this club. It’s helped me diversify my IG feed. And YouTube shorts because sometimes I put these creatives there too.

And it will show you how many times the URL is viewed and clicked so you can understand if the link is popular.

Holy buckets! This has been so helpful for my business and how I provide service to my clients. It’s a document to use when working with ChatGPT. It’s basically my business’ manual. It has my audience information, what their pain points are, my offers, lead magnets, how ever all works together. So any time I brainstorming about my content or business operations, I can reference this to stay on brand. And frankly, it helped me super clear on what I even offer and who I help because I had never documented it before.

I am so loving this tool. I’m not gonna say it’s the easiest thing to jump into right away, but I think that’s because of my perfectionist side. I feel like it needs to be set up properly but really you can literally start using it with some of the defaults it comes with. I have been uploading my client calls into the tool and then have it pull out bits that I say for social posts! What!?! The funniest part I think is that you can have a certain type of video or audio uploaded and upon upload, it can output a set number of pieces of various content. So when I upload my podcast, it can automatically create titles, timestamps, 10 discussion questions, list of key topics in a bullet format, and soooo much more. Truly a helpful tool.
CinchShare
CinchShare lets you batch, schedule, and share your social content so you’re not glued to your phone all day. It keeps your posts organized and ready to go, making it easier to stay consistent without the stress.
Clarity
Tool that records visitors to your website so you can see how they are navigating through. Super helpful to understand if they are finding what they need.
ClickUp
For projects and tasks, I use this for my own business and for clients. I had been through a few tools before landing on this one. Easy to use interface and utterly customizable. There is a free version. Give it a try.
Descript
My podcast and video editor. I like that I can highlight words and move or remove them. I can add “commercials” or snippets of things that are repeated in multiple pieces of content. I find it’s one of the easier editing tools.
Diib
A new tool I’m testing this is very promising. Diib is an SEO tool that provides website improvement suggestions. I think what I appreciate about it the most is the interface. It’s unlike any other SEO tool I’ve seen. It uses regular words and provides helpful explanatory information. There is a free version, with a little silliness. The free version will alert you to things that are only available in a paid version. I don’t like that. And “alerts” feels very emergency like. Don’t like that either. Still, I’m really liking it.
Evernote
I use this for lists or thoughts. Like Christmas ideas. Or when I’m running and I need to jot something down. It’s like a huge multi-section notebook. Plus it has a task list.
Exploding Topics
Exploding Topics spots trends before they blow up. It analyzes searches, conversations, and behavior across the web to surface topics that are gaining traction now, so you can create content, products, or campaigns before everyone else catches on.
Fathom Notetaker
I’ve only just started using this automatic notetaker. I’ve been putting them off for quite some time. I mean what if I say something about Jane shouldn’t have worn that shirt on the call? (There is no Jane of course, but you get my drift.) It was recommended as a way to easily grab action items from meetings. Let’s face it, we try to write everything down but there’s just a lot of moving part. I tried a couple tools, maybe not as well as I could have, but, I tried Fathom and instantly loved it. The action items and recaps are so incredibly good. It really allows me to stay focused in the call instead of worry about what was said that I need to type out. At a glance it looks like there are ways to add the action items to some task tools too! I may try that out later. If you’ve been curious about meeting notetakers, I recommend this one.
Flick
A social marketing platform that helps you schedule your social posts, generate hashtags and helps with caption writing.
Gamma
Quite literally the most thought out tool from a business perspective. The functionally in this thing is what every business owner has been looking for. It creates presentations for you! PDFs too. You can load up your bullet list of notes or word for word what you want and then answer a couple of questions, and bam! You got yourself a handy presentation. I’ve used it to present ideas and share pricing with prospects. It’s so much prettier than a word doc. This visually takes away the boring.
Google Alerts
A good old fashioned email alert on any phrases you want to keep track of. I have one on my name and my business name. I can keep an eye on competitors or industry terms. Find it at google.com/alerts
Google Search Console
One of my go-to tools to find what phrases people find my (and clients’) websites on. It tells me the phrases, how many times I show up, what page I rank on and how many people click to my website. And recently! Google has added an insights area that easily let’s you see what pages or keywords are trending up or down in a given period.
Headline Analyzer
A quick tool that scores your headline for clarity, strength, and reader appeal, then offers simple tweaks to help it resonate and attract more clicks.
Her AI Club
For women who want to use AI and automation in their business, there is no better community. There are monthly calls that help you troubleshoot, build and connect with other people are want to improve their business. The ladies who build the community are engaging and always improving the club benefits. I’ve enjoyed getting to meet new people and learn from others. And it’s how I first learned how to build out a full on automated playbook! Super nerdy and super fun. A free toll that records what your visitors do on your website. See if they are getting the information they need. Uncover potential site functionality issues.
How to ClickUp
If you’re a fan of ClickUp, you’re gonna love this! Learn ClickUp basics in just one day. Taught by ProcessDriven, one of the most knowledgeable teachers on the tool. It’s one of the most comprehensive and easy courses I’ve ever taken. I took it when I first started using ClickUp.
If-so plugin
The thing I most use it for is showing different copy on a page depending on where the visitor is coming from. For a client of mine in particular, has a contact inquiry form on multiple pages. After the form is submitted, the visitor is taken to a thank you page. That thank you page has different copy depending on the page the visitor came from. Other personalization ideas use time of day, where they are located. So many options. The idea is to show more personalized information to increase conversion rates. Instagram Reels from Kinsey at Authentic AI
One of the funniest memberships. Kinsey sends weekly ideas via email AND provides a specific template for each one. If reels is part of your social media strategy, I highly encourage you check this out.
Integromat
Integromat meshes better with my ClickUp tool than Zapier. When a status in my ClickUp Google My Business post tasks change to ‘Ready to Publish’, Integromat sends the data over to Google sheets. (Which is then auto scheduled for posting through Postamatic. See below.) I save quite a bit of time with this automation.
Jasper.ai
Jasper.ai is an AI writing tool designed to help people generate written content quickly. It offers templates for things like blog posts, social media, and ad copy, and is used by marketers, business owners, and content teams. Jasper doesn’t write perfect content on its own, but it can help speed up the process by giving you a starting point or helping with repetitive tasks.

Keywords Everywhere
It installs as Chrome Extension and data shows in the search results page. If you connect it with Google Analytics and Google Search Console, it adds columns for search volume, CPC, competition and trending.
Kling AI
Turn your static images into video! I’ve had some fun with this one. I took one of my static photos and had it take my arm/hand reach out to Branch from the Trolls movie. Well, the reaching out part… I had to put a photo of Branch in my Canva and then I inserted this video. Add just a little movement to static photos and turn them into .gifs for some movement on your website!
Lovable.dev
Lovable.dev takes normal written word and turns it into a website page or full website. It will build a sofware as a service, an app, all without knowing code. I’ve used it to create a visual of a landing page. I took some information I prepared from ChatGPT about what I wanted on my landing page, the structure, the copy, the colors, uploaded it here and it built out the visual framework. It really took a lot of the pain out of developing a new website page.

Somehow this came across my path because of a download I did and I started getting their marketing emails. Then one day, my pervious social media scheduler decided hike their rates quite absurdly and I had to find a new platfrom to allow my Social Media Manager, aka my niece, to schedule my posts. We decided to try this out and it’s quite handy. It has an approval process and you can see things at a glance on a calendar. If you’re looking for something to schedule your social posts across different platforms or reevaluating your current tech stack, this is a good one to consider.
Microsoft Clarity
Microsoft Clarity shows you how real people actually use your website. With session recordings, heatmaps, and rage click tracking, it helps you see where visitors get stuck, what they ignore, and what’s quietly costing you leads so you can make smarter, simpler improvements.
OpusClip
A generative AI video repurposing tool that turns your long videos into viral short videos.
PageOptimizer Pro
A tool that gives super specific on-page recommendations (even specific words and how many times) based on what’s already ranking, helping you fine-tune your content so it has a better shot at showing up higher in search.
Is an online bookmark site. You can tag the web pages for organization. One tag I have is called ‘shareable’. So when I want to share something on my socials, I can go to this area and pick something.
Podchaser Notifications
Podchaser notifications alert you when podcasts publish new episodes, mention specific topics, or release opportunities that match what you’re tracking. It’s an easy way to stay on top of shows you care about and spot guesting or collaboration opportunities without constantly checking in.
PodMatch
It’s like a dating site but for hosts and guests for podcasts. If you’re looking for podcasts to guest on, you plug in some information and it attempts to find you shows that match! It’s hand down one of the most useful tools for finding podcast shows.
Postamatic
This tool sits right inside Google Sheets. It is a service that automate publishing posts to your Google Business Listing! You can download your reviews too; which is handy when you want to search for certain words to put them in your marketing. I’ve used this for clients to schedule posts out one and two months at a time.
ProcessDriven Foundations
ProcessDriven is the most comprehensive resource for business owners who want to turn operational chaos into a proven, repeatable, process. I had used the YouTube tutorials and articles but being in the community allowed me to get my own personal scenarios worked out. The community is run by Layla Pomper. Layla and her team are beyond expectations when it comes to helping the community members. Always new templates, helpful decision trees, and the regular updates are packed with information.
RankMath
Rank Math is a WordPress plugin for SEO guidance. One of may favorite features is the ability to add schema markup to individual pages. You don’t have to know code to add schema to your site.
There is a free version that works well. Just go through the set up steps and you’re off and running. The paid version allows you to track keywords, has more schema options and more integrations.
Repurpose.io
Sending your content to YouTube, Facebook, Instagram, Twitter, LinkedIn, and more—all automatically. So many hours to save. More time for creativity, relaxing, or just binge-watching Schitt’s Creek.
Screaming Frog
A website crawler that shows you what’s working, what’s broken, and what needs attention so you can fix technical issues and improve your site’s overall health for search. I also use it to find instances of a word throughout websites to help internal linking opportunities.
SE Ranking
There are many apps out there claiming they are an SEO tool. This is one of them. My preferred one. It has a simple interface. Support has been responsive when I use it. I use it for site audits, page specific audits, and finding back links for client websites. I definitely underutilize this tool. (They claim they are an agency tool, but solopreneurs can benefit from it as well.)
Search Analytics for Sheets
By far, one of my favorite tools. Get google Search Console data and create automatic backups right into Google Sheets. Google Search Console by itself doesn’t allow you to really dig in to the data. With this sheets add-on, there are various ways to pull the data so that you can learn what’s happening with our organic traffic.
SEO Pro Extension
The most clean and simple extension to see the headings and other SEO details for a single page.
SEOPress
SEOPress is a WordPress plugin for SEO. There’s a free and paid version. What I like best about this plugin is the simplicity of adding schema code to a page.
Serpstat
An SEO management tool. Find keywords, audit your website, track your rankings, and so much more.
Setapp
Setapp. For mac users. Multiple apps for your mac. All with only one subscription. I used it for a time for an app that provided shortcuts. So I would type say, unicorns pooping rainbows and it would replace that with a paragraph about how they don’t poop rainbows. I kid of course. But the app is for real. There is a 7 day free trial if you want to see what it has and check it out. Find it at app.setapp.com
ShareASale
For affiliate marketing. Some affiliate marketing by businesses are done through here rather than directly through the business. If you’re building a passive income site, this is a good site for you.
Slack
Messaging tool. I use it primarily for networking and staying in touch with colleagues. It’s really helpful for a team of people to stay connected.
Sourcery
A service to help you manage and send emails using HARO. Type in your keywords and it will find relevant opportunites. Connect your Gmail account for even more automation.
Streak
Streak for Gmail is a simple way to keep track of conversations, tasks, and clients right inside your inbox. I use it specifically for email templates and linking directly to specific email threads.
Streamyard
I use Streamyard for lives that I wanna do and sometimes for my podcast guesting because it has extra elements that I can put on the video while I’m doing it. So mostly the lives, but I can put banners down at the bottom. I can also share my screen and have somebody else come with me on the entire video. I can have snippets of like things to pop up in advance and ready to show on the screen. So for me, it’s mostly for lives, but it can also be used for like workshop type presentations.
Systeme.io
This is my newsletter platform. It also has email sequences so I can send follow up emails for all my free and paid downloadable resources. You can also have courses and sales pages. It really acts like a mini website if you wanted it to. It’s very budget friendly compared to other tools like Kajabi. There is less customization available in the emails but the cost and ease to use it has been nice.
Termaggedon
Easy to use and set up privacy policy generator. It also has disclaimer, terms and conditions and end user license agreement.
There’s An AI For That
A tool that helps find other tools. Various categories for a wide variety of solutions. It shows alternatives for tools as well.
TidyCal
This is a Calendly alternative. Simpler in my opinion. I have one regular calendar for people to schedule with me, one for podcast guesting and one with a paid consultation that accepts payments. I really like the simplicity of this tool.

This tool is incredible! It’s so easy to use. I automatically creates short clips from long videos. And does a great job at it. Super simple editor to take out sections and add them. And easily add an outro scene to the end for branding.

This tool can create videos from existing blog posts, edit videos adding creative touches to them, create animated .gifs and so much more.
Zapier
I took this course years ago. It was such a great help to better understand Zapier and it’s possibility. Zapier allows you to automate processes and worflows between systems. A common example is automatically send new purchases or sign-ups from Shopify, WooCommerce, or Stripe to Mailchimp or ConvertKit. A less common example is pulling Descript or Otter.ai transcripts into a Google Doc or Notion.

It installs as Chrome Extension and data shows in the search results page. If you connect it with Google Analytics and Google Search Console, it adds columns for search volume, CPC, competition and trending.

Turn your static images into video! I’ve had some fun with this one. I took one of my static photos and had it take my arm/hand reach out to Branch from the Trolls movie. Well, the reaching out part… I had to put a photo of Branch in my Canva and then I inserted this video. Add just a little movement to static photos and turn them into .gifs for some movement on your website!
Lovable.dev
Lovable.dev takes normal written word and turns it into a website page or full website. It will build a sofware as a service, an app, all without knowing code. I’ve used it to create a visual of a landing page. I took some information I prepared from ChatGPT about what I wanted on my landing page, the structure, the copy, the colors, uploaded it here and it built out the visual framework. It really took a lot of the pain out of developing a new website page.

We decided to try this out and it’s quite handy. It has an approval process and you can see things at a glance on a calendar. If you’re looking for something to schedule your social posts across different platforms or reevaluating your current tech stack, this is a good one to consider.

Is an online bookmark site. You can tag the web pages for organization. One tag I have is called ‘shareable’. So when I want to share something on my socials, I can go to this area and pick something.

Podchaser notifications alert you when podcasts publish new episodes, mention specific topics, or release opportunities that match what you’re tracking. It’s an easy way to stay on top of shows you care about and spot guesting or collaboration opportunities without constantly checking in.
PodMatch
It’s like a dating site but for hosts and guests for podcasts. If you’re looking for podcasts to guest on, you plug in some information and it attempts to find you shows that match! It’s hand down one of the most useful tools for finding podcast shows.
Postamatic
This tool sits right inside Google Sheets. It is a service that automate publishing posts to your Google Business Listing! You can download your reviews too; which is handy when you want to search for certain words to put them in your marketing. I’ve used this for clients to schedule posts out one and two months at a time.
ProcessDriven Foundations
ProcessDriven is the most comprehensive resource for business owners who want to turn operational chaos into a proven, repeatable, process. I had used the YouTube tutorials and articles but being in the community allowed me to get my own personal scenarios worked out. The community is run by Layla Pomper. Layla and her team are beyond expectations when it comes to helping the community members. Always new templates, helpful decision trees, and the regular updates are packed with information.
RankMath
Rank Math is a WordPress plugin for SEO guidance. One of may favorite features is the ability to add schema markup to individual pages. You don’t have to know code to add schema to your site.
There is a free version that works well. Just go through the set up steps and you’re off and running. The paid version allows you to track keywords, has more schema options and more integrations.
Repurpose.io
Sending your content to YouTube, Facebook, Instagram, Twitter, LinkedIn, and more—all automatically. So many hours to save. More time for creativity, relaxing, or just binge-watching Schitt’s Creek.
Screaming Frog
A website crawler that shows you what’s working, what’s broken, and what needs attention so you can fix technical issues and improve your site’s overall health for search. I also use it to find instances of a word throughout websites to help internal linking opportunities.
SE Ranking
There are many apps out there claiming they are an SEO tool. This is one of them. My preferred one. It has a simple interface. Support has been responsive when I use it. I use it for site audits, page specific audits, and finding back links for client websites. I definitely underutilize this tool. (They claim they are an agency tool, but solopreneurs can benefit from it as well.)
Search Analytics for Sheets
By far, one of my favorite tools. Get google Search Console data and create automatic backups right into Google Sheets. Google Search Console by itself doesn’t allow you to really dig in to the data. With this sheets add-on, there are various ways to pull the data so that you can learn what’s happening with our organic traffic.

The most clean and simple extension to see the headings and other SEO details for a single page.
SEOPress
SEOPress is a WordPress plugin for SEO. There’s a free and paid version. What I like best about this plugin is the simplicity of adding schema code to a page.

An SEO management tool. Find keywords, audit your website, track your rankings, and so much more.
Setapp
Setapp. For mac users. Multiple apps for your mac. All with only one subscription. I used it for a time for an app that provided shortcuts. So I would type say, unicorns pooping rainbows and it would replace that with a paragraph about how they don’t poop rainbows. I kid of course. But the app is for real. For affiliate marketing. Some affiliate marketing by businesses are done through here rather than directly through the business. If you’re building a passive income site, this is a good site for you.
Slack
Messaging tool. I use it primarily for networking and staying in touch with colleagues. It’s really helpful for a team of people to stay connected.
Sourcery
A service to help you manage and send emails using HARO. Type in your keywords and it will find relevant opportunites. Connect your Gmail account for even more automation.
Streak
Streak for Gmail is a simple way to keep track of conversations, tasks, and clients right inside your inbox. I use it specifically for email templates and linking directly to specific email threads.
Streamyard
I use Streamyard for lives that I wanna do and sometimes for my podcast guesting because it has extra elements that I can put on the video while I’m doing it. So mostly the lives, but I can put banners down at the bottom. I can also share my screen and have somebody else come with me on the entire video. I can have snippets of like things to pop up in advance and ready to show on the screen. So for me, it’s mostly for lives, but it can also be used for like workshop type presentations.
Systeme.io
This is my newsletter platform. It also has email sequences so I can send follow up emails for all my free and paid downloadable resources. You can also have courses and sales pages. It really acts like a mini website if you wanted it to. It’s very budget friendly compared to other tools like Kajabi. There is less customization available in the emails but the cost and ease to use it has been nice.
Termaggedon
Easy to use and set up privacy policy generator. It also has disclaimer, terms and conditions and end user license agreement.
There’s An AI For That
A tool that helps find other tools. Various categories for a wide variety of solutions. It shows alternatives for tools as well.
TidyCal
This is a Calendly alternative. Simpler in my opinion. I have one regular calendar for people to schedule with me, one for podcast guesting and one with a paid consultation that accepts payments. I really like the simplicity of this tool.

Zapier
I took this course years ago. It was such a great help to better understand Zapier and it’s possibility. Zapier allows you to automate processes and worflows between systems. A common example is automatically send new purchases or sign-ups from Shopify, WooCommerce, or Stripe to Mailchimp or ConvertKit. A less common example is pulling Descript or Otter.ai transcripts into a Google Doc or Notion.
